MyInvois Guide for Malaysian Retailers: Phases and B2C Rules
MyInvois guide for Malaysian retailers as of October 2026: LHDN phases by annual sales, consolidated B2C e-invoices, the free e-POS option and a checklist.
- The MyInvois rollout depends on annual sales. Check your phase and start date on the LHDN portal.
- Small retail sales can be covered by consolidated e-invoices, under LHDN rules and submission windows.
- A free government e-POS exists for eligible smaller businesses. Check eligibility on the official page.
- AIFFICIENTO Starter costs RM 39 per month, with a 30-day free trial and no credit card.
MyInvois is the e-invoicing system of the Inland Revenue Board of Malaysia (LHDN). Each validated e-invoice receives a unique identifier, and the system keeps the record for the buyer and the tax authority. Whether you run a kedai runcit, a mini market or a multi-outlet chain, the challenge is the same: many small sales, and a rollout that happened in phases. This guide is current as of October 2026. Check the MyInvois portal and LHDN notices before you act, because dates have moved several times.
Which phase applies to you
LHDN rolled out e-invoicing by annual sales turnover. The phases, as announced, were:
- Phase 1: from 1 August 2024, for businesses with annual revenue above RM100 million.
- Phase 2: from 1 January 2025, for businesses with RM25 million to RM100 million.
- Phase 3: from 1 July 2025, for businesses with RM5 million to RM25 million.
- Phase 4: from 1 January 2026, for businesses with RM1 million to RM5 million.
- Phase 5: planned for 1 July 2026, for businesses with annual sales up to RM1 million. A later Bernama report said businesses below RM500,000 were exempt.
Some later blog posts describe different thresholds and dates. Treat those as unverified until you see them on LHDN or Bernama. Your accountant can confirm which band your business falls in.
Grace periods and consolidated invoices
LHDN said the newer phases came with a grace period. During it, taxpayers could issue consolidated e-invoices for all transactions, including self-billed ones. Most retail sales are to customers who do not ask for an invoice, so consolidated e-invoices are the key tool here. Points to check:
- A consolidated e-invoice groups many small transactions into one submission. The buyer details are generic for these invoices.
- A customer who asks for their own e-invoice must get one with their own details.
- The product description field can carry the detail needed to explain the grouped sales.
- One guide cites monthly submission within 7 days after month-end for consolidated B2C invoices. Check the current LHDN guidance for the exact window and format before you rely on it.
A free government option for smaller businesses
HASiL's MyInvois e-POS is a free platform for smaller businesses, reported as available to businesses with annual sales up to RM5 million. It covers sales, accounting, inventory and e-invoicing. Eligibility and features change, so check the official page before you rely on it. A larger shop or a chain usually needs a paid POS with integration.
What your POS must handle
- Tax identification. Buyer tax details and your business registration details for B2B invoices.
- Item lines. Each product, quantity, unit price, tax type and tax amount.
- Validation. Send each document to MyInvois, receive the validation result, and print the QR code when the buyer needs it.
- Cancellations and credit notes. Follow the LHDN process. Do not edit a validated e-invoice.
- Outages. Ask the vendor how documents are held when the link is down, and how long you have to send them.
A practical checklist
- Confirm your revenue band and phase on the MyInvois portal.
- Ask your accountant whether you need individual e-invoices, consolidated ones or both.
- Decide how a customer asks for an invoice at the counter, and put a clear option on the POS.
- Clean the product list and set the tax type for each item.
- Test a B2B invoice and a consolidated B2C submission, and check both on the portal.
- Keep the validation results with your accounts.
Returns, cancellations and corrections
A validated e-invoice should not be edited. A wrong invoice is cancelled or replaced under the LHDN process. The cancellation window is set in current guidance, so check it before you rely on it. A refund for a sale that already has an e-invoice needs a matching adjustment, not a changed amount on the old record. Your POS should keep the link between the original document and the adjustment, so an auditor can follow the trail.
Common mistakes to avoid
- Putting every sale into one consolidated batch. A customer who asks for an invoice still needs an individual e-invoice.
- Using the wrong buyer details. A customer who gives a tax number should be recorded with it.
- Skipping the monthly check. Consolidated submissions have a window. Missing it can cause problems later.
- Guessing your phase. Confirm your band on the portal, and check again when your sales grow.
Keep a simple monthly summary
Once a month, record the number of individual e-invoices, the number of consolidated submissions and the total value of each. Your accountant will ask for this split, and a simple summary saves hours at year end. It also shows you quickly when a customer request is being missed at the counter.
Working with a tax adviser
Most shops should not handle MyInvois alone at the start. Ask your accountant or a registered tax agent to review your phase, your B2C approach and your first month of submissions. Bring them the monthly summary, a sample of your receipts and a list of your product tax types. A short review at the start costs far less than correcting a month of rejected documents.
Where AIFFICIENTO fits
AIFFICIENTO is an AI-powered retail POS with an offline-first design. One PC runs as the server, other PCs act as counters, and selling continues without internet. Sales stay on your own PC and sync to the cloud where a cloud feature needs them.
The counter has barcode billing, a quantity shortcut, held bills, split payments (cash, card, wallet, bank and customer credit), returns, voids with a reason and approval, and shift reports. You can add second-language item names to receipts.
Tax authority integrations, including MyInvois, are configured per shop on request. Use the Request integration button in Settings, Store. Our team configures and tests it for your registration. AIFFICIENTO is not certified, approved or accredited by LHDN.
Starter is RM 39 per month, with 1 counter and up to 3 users. Growth and Business are on pricing. See the Malaysia POS software page for local details, and the tax and e-invoicing feature page for how integration works.
