Paper bills are part of trading, and they carry the detail you need to keep stock and supplier balances right. Typing each line by hand is slow, and mistakes creep in at the end of a long delivery.
Open the scan tool, photograph the bill, and add any further pages. Geto reads the bill and creates a purchase draft with the supplier, items, quantities and costs it finds. The draft opens for review. Check each line against the paper, correct anything that looks wrong, and save.
What to check before you save
- The supplier name, so the purchase goes to the right ledger.
- Quantities and units, especially where the bill uses cases and single items.
- Costs and the bill total, against the paper.
- Any line that was hard to read, such as a handwritten note.
After you save
The purchase feeds your stock, your supplier ledger and your reorder list. The supplier’s balance shows what you owe, and you can record a payment against it when you pay. A later purchase return is recorded the same way.
Keep the paper
Scanning does not replace your filing. Keep the original bill with the purchase reference, the same as you would without the software.
