Digital Khata and Udhaar Management for Pakistani Shops

How to run udhaar and khata in your shop: set a credit policy, keep clean records, send reminders, and pick a khata app or a POS with built-in credit.

Key takeaways
  • Write a credit policy before you give credit: who qualifies, the limit, the payment date and what happens when a payment is late.
  • Keep one record per customer with a phone number, and send a statement that shows every purchase and payment.
  • A standalone khata app is simple. A POS with built-in credit also updates stock, the till and profit reports.
  • Migrate the paper book in steps and check that the totals match before you stop using it.

Udhaar is part of how many shops in Pakistan work. A regular customer buys on credit, pays part of the bill at the end of the month, and asks for the balance on a slip of paper. The system works when the shopkeeper remembers every name and amount. It breaks when there are many customers, when staff change, or when a customer disputes a figure.

This guide explains how to manage customer credit well, how a digital khata differs from a POS with built-in credit, and what to set up before you start.

Credit is a risk, so set rules

Every credit sale is a short loan. The shop gives goods now and waits for money later. That is why credit needs rules. Decide who gets credit, how much, for how long, and what happens when a payment is late. Write the rules down and show them to every person who works at the counter.

Good rules are short. For example, you might decide that only customers with a known address and a phone number get credit, that the owner sets each customer's limit, and that credit stops when a balance is more than a set number of days overdue. Use numbers that suit your shop, and review them every few months.

Set a credit policy before the first sale

Cover these points in a one-page policy:

  • Eligibility. Who gets credit? Regular customers, customers who have paid on time before, customers who give a reference?
  • Limit. The owner sets a limit for each customer. Decide whether limits are the same for everyone or change with history.
  • Payment terms. Weekly, monthly, or on a salary date. Be specific.
  • Late payments. What happens after a set number of days? A friendly reminder, a call, and then a pause on new credit.
  • Exceptions. Who can approve a sale above the limit? Usually only the owner.

Share the policy with staff and keep a copy in the shop. A policy that only the owner remembers does not protect the till.

Keep clean customer records

Every credit customer needs one record. Store the full name, a phone number, the area or address, and a short note if needed. The phone number matters most, because it is how you send reminders.

Avoid duplicates. "Ali", "Ali Raza" and "Ali R." can end up as three records and split one balance across them. Pick one rule, such as one record per phone number, and stick to it. If you want receipts in Urdu, add the second-language name too.

What a good statement shows

A statement is the document that settles arguments. It should show:

  • The opening balance and the date it started.
  • Each purchase, with the date, the invoice number and the amount.
  • Each payment, with the date and the method, such as cash, bank or a wallet.
  • A running balance after each line.
  • The closing balance and the customer's contact details.

A statement you can print or send in seconds saves time and protects the relationship. Customers trust a clear figure more than a memory.

Send reminders without losing the customer

Reminders work best when they are regular, polite and specific. Choose a fixed day each week to check the overdue list. Send a message on the agreed date with the balance and the due date. WhatsApp or SMS is usually more respectful than a call in front of other customers.

Make paying easy. Accept cash, bank transfer and mobile wallets such as JazzCash or Easypaisa, where the shop has them. A reminder with an easy way to pay gets better results than a stern note.

Khata app or POS with built-in credit?

A standalone digital khata app tracks balances, usually on a phone. It is simple, cheap and quick to start. Its weakness is that it does not know what you sold. You enter each sale twice, once at the till and once in the app, and the two can drift apart.

A POS with built-in credit records the credit sale at the counter. It reduces stock, updates the customer's balance, adds the sale to the day's cash and profit reports, and lets you split one payment between cash and credit. It needs more setup and training, but it removes double entry.

A khata app may be enough if:

  • One owner runs the shop and handles all the credit.
  • You have a few credit customers and no need to track stock.
  • You do not need tax invoices or detailed profit reports.

A POS with built-in credit makes more sense if:

  • You have more than one counter or cashier.
  • Credit sales happen every day.
  • Stock matters, and you need to know what is selling.
  • You need profit reports or FBR-compliant invoices.

How credit works inside a POS

In AIFFICIENTO, credit is part of the sale. At checkout the cashier can split a payment between cash, a wallet and customer credit. The sale checks the customer's credit limit. Payments received are recorded against the balance, and returns reverse the credit. Customer accounts can show statements, and the reports include customer dues. The owner can ask Geto, the built-in assistant, who owes money, and the daily briefing lists overdue customers. Geto prepares actions for you to confirm, and it does not act on its own.

Keep control of who gives credit

Use staff permissions so that only trusted people can give credit above a limit or change a customer's balance. Keep an audit log of who gave credit and who received a payment. Once a week, compare the total of credit sales with the customer ledger. Once a month, review the largest balances and the oldest balances.

Moving from a paper khata

Migrate in steps:

  1. Copy the paper book into a spreadsheet with the name, phone number and balance.
  2. Clean up duplicates and fix obvious errors.
  3. Import the customers with their opening balances.
  4. Check that the total of the spreadsheet matches the total of the paper book.
  5. Start recording new credit from a set date.
  6. Keep the paper book for one month as a backup.

AIFFICIENTO imports Excel and CSV files, and it offers assisted data migration from spreadsheets and old software. Ask us what is included in your plan.

FAQs

What is the difference between a khata app and a POS with credit?
A khata app tracks balances separately from sales. A POS with built-in credit records the credit sale at the counter, updates stock and the till, and includes the sale in reports. The POS removes double entry, but it needs more setup.
How should I set a credit limit for a customer?
Let the owner set a limit for each customer, based on the customer's history and the shop's cash needs. Review limits every few months, and require owner approval for any sale above the limit.
How do I remind customers about udhaar without upsetting them?
Choose a fixed day each week, send a polite message with the balance and the due date, and offer easy ways to pay, such as cash, bank transfer or a mobile wallet. Avoid reminders in front of other customers.
Can I move my paper khata into a system?
Yes. Copy the book into a spreadsheet, clean the duplicates, import the customers with their balances, check the totals against the paper book, and keep the paper book for one month as a backup.
