Free POS Software: What You Actually Get
An honest look at free POS software: what free plans include, the hidden costs, the risks of unsupported downloads, and how to test a full trial before you pay.
- Free plans usually limit users, products, counters or reports. Check those limits against your needs.
- Open-source tools have no license fee, but setup, hosting, support and maintenance take time and skill.
- The real costs often sit in hardware, payment fees, support and data migration.
- Test any tool, free or paid, with real products, offline sales and a report check before you commit.
Searches for free POS software are common for a good reason. Every shop owner wants to start without a large bill. Some free options are genuinely useful. Others leave you with a tool that works for a month and then becomes expensive or stops being supported. This guide explains what "free" usually means, what it can cost in other ways, and how to test software before you commit.
What "free" usually means
Free POS software comes in a few forms:
- Free plans with limits. Typically one user, one register, a small product count, a few reports and no multi-branch support. They can work for a very small shop with simple needs.
- Open-source tools. The software itself has no license fee, but you pay for installation, configuration, hosting, support and maintenance. Someone has to know how to fix it when it breaks.
- Free trials. Full features for a limited period, usually 14 or 30 days. They let you test properly, but you pay after the trial if you carry on.
- Free downloads. Some are demos with watermarks, limited features, or add-ons you must buy before the system is usable. Read the terms before you install.
None of these is wrong by default. The question is which one matches your shop, and what it costs over a full year.
Where the real costs hide
Free software often moves the cost somewhere else:
- Hardware. Some tools need specific printers, scanners or card terminals, and these may only be sold through the vendor.
- Payment processing. Card and wallet fees come from your payment provider, not from the POS. Compare them separately.
- Your time. Setup, product entry and training take hours. A complicated tool makes that time grow every month.
- Support. When the system stops at nine on a Friday night, many free tools have no one to call.
- Upgrades. A free plan that does not grow with you can force a switch later. Moving data between systems is slow and risky.
- Data exit. Check how you can export products, customers, sales and stock. If you cannot leave easily, you are locked in, free or not.
- Downtime. A system that stops during a power or internet cut costs sales, not just time. Work out what one lost hour at your peak is worth, and compare that with the price of a backup plan.
Risks to check before you install
Be careful with any software you download:
- Download only from the vendor's own website or another well-known source.
- Check the publisher name and the digital signature of the installer before you run it.
- Do not give an unknown tool administrator access to your whole PC.
- Read what data the software collects and where it is stored.
- Confirm that the software still gets updates, especially security updates.
- Keep your own backups, whatever software you use.
Tax rules change too. Check that the tool handles your tax rates, invoice format and any e-invoicing rules in your country, and ask the vendor to confirm this in writing. Do not assume.
A fair way to test any POS
Use the same short test on free and paid software alike:
- Set up 100 to 200 real products with barcodes.
- Make 50 sales, including two split payments and one return.
- Unplug the internet and make 10 more sales.
- Run the daily sales report and check it against your notebook.
- Export the products and sales to a spreadsheet.
- Restore a backup on a second PC, if the tool supports that.
If the software passes these steps, it deserves a longer look. If it fails the offline step or the export step, it may cost you more later than a paid tool would.
Keep notes as you test. Write down each problem, how long it took to fix, and whether the answer you got from the vendor matched what the screen showed. A tool that needs three phone calls to export one report has told you something about its support.
What a useful free trial includes
A free trial only helps if it is the real product. Before you start, check that the trial:
- Includes every feature you plan to use, not a reduced demo.
- Allows your full product list and your real number of counters and users.
- Does not ask for a card, or tells you clearly when one is needed.
- Gives you enough time to close a month, or at least four weekends of trading.
- Lets you export your data, so you can leave with your records.
A trial that hides exports or caps the product list at 20 items is a sales demo, not a test. Ask the vendor for a fuller trial, or move on.
Questions to ask any free tool
Free software may still have a company behind it, or a volunteer project with no one accountable. Ask these questions in writing:
- Who publishes the software, and where is the company registered?
- How are security fixes released, and how quickly?
- Who supports the software when it breaks, and during which hours?
- What happens to my data if the free plan is withdrawn?
- Which features move to a paid plan, and when?
- Which hardware is required, and who sells it?
Clear answers do not make a tool good. Vague answers are a warning sign.
Where AIFFICIENTO stands
AIFFICIENTO is not a free-forever product. It is a paid POS with a 30-day free trial. The trial gives you full access to everything, and no credit card is needed. You can run your real products and your real counters during the trial, then decide.
What you test in the trial is the full product: barcode billing, held bills, split payments, purchases and suppliers, customer credit, stock counts, reports, roles with per-user permissions and automatic backups. Assisted data migration from spreadsheets or old software is available, and so is help with setup. Plans start from $10 per month for the Starter plan, and the local price for your country is on the pricing page.
Whatever you choose, use the test above. Free or paid, the question is the same: does it still work for your shop on a bad internet day?
