Best Billing Software for Retail Shops in India (2026 Guide)

Choose billing software for an Indian retail shop in 2026: GST invoices, counter speed, offline billing, and the questions to ask before you pay.

Key takeaways
  • Judge billing software at the counter first: speed, barcode scanning and receipt printing matter most.
  • Check GST invoice fields, tax-inclusive pricing and the returns process with your CA, in writing.
  • Test offline billing during the trial by switching off the internet mid-shift.
  • AIFFICIENTO Starter costs ₹499 per month, with a 30-day free trial and no credit card.

Every shop bills a customer. A kiryana store, a garment shop, a pharmacy and a supermarket all need to ring up sales fast, keep GST right and know what is left on the shelf. Billing software does those jobs, or it fails at them. This guide shows what to check before you choose. Facts are as of October 2026.

What a retail billing system must do

  • Bill at the counter fast. USB barcode scanning, quantity shortcuts and keyboard keys matter more than a large dashboard. Time a queue of ten customers during the trial.
  • Handle GST correctly. Each product needs the right tax rate. The invoice must show your GSTIN, the tax split and the item codes your accountant asks for.
  • Keep stock in step with sales. Every sale should reduce stock and every purchase should add to it. Low-stock and expiry alerts stop surprises.
  • Work when the internet drops. Power cuts and weak broadband are normal in many areas, so billing must not stop with the connection.
  • Print a clean receipt. Most shops use a thermal printer. Check the paper width (58 mm or 80 mm), your logo and your GSTIN.
  • Track credit and loyalty. Many shops sell on khata or credit. Customers expect points and a clear balance.

The four types of billing software

Indian shops see four kinds of product in their search results:

  • Accounting-first apps. Good for bookkeeping and invoicing. Billing at a busy counter is often a secondary feature.
  • Cloud billing apps. These run in a browser or on a phone. They suit a small shop with light stock and one or two devices.
  • Counter POS software. This runs on a shop PC with scanners and a printer, with several counters on one network. It suits queues, barcodes and multiple cashiers.
  • Retail ERP. Built for chains with warehouses, many branches and purchase workflows. It is usually the most expensive and the most involved to set up.

Each type has a fair use. An accountant-managed business with little counter traffic may do well on accounting-first software. A single shop with a phone and a few products may be happy with a cloud app. A counter POS is the better fit when speed at the till is the problem.

Questions to ask every vendor

Ask these before you pay, and get the answers in writing:

  • Does billing work offline? Ask the vendor to switch off the internet during the demo and bill three items.
  • Which hardware works? Can I use the scanner and thermal printer I already own?
  • What does the GST invoice show? Ask for a sample invoice and send it to your CA.
  • How are tax prices set? Can I enter prices tax-inclusive or tax-exclusive, and set a different rate for each product?
  • How are returns handled? Can a return be made without the original bill? Who approves it?
  • Can cashiers have their own logins? Can you limit what each role sees and changes?
  • Can I export reports? Ask for CSV export of sales, purchases and stock.
  • What does the trial include? Does it need a card? Does it include every feature?
  • Who helps with data migration? Can your team import products from Excel?

A practical trial test

Do not judge billing software from a demo alone. Run a real shift during the trial:

  • Ring up 50 items with a barcode scanner, including a quantity shortcut.
  • Take one split payment, for example cash plus UPI.
  • Do one return with the bill and one without, and check who had to approve each.
  • Turn off the internet and bill again. Turn it back on and check that the sales reached the server.
  • Print three receipts. Check the GSTIN, the tax split and the total against a calculator.
  • Close the day and compare the expected cash with the cash you count.

If a step fails, that is your answer. Move on to the next vendor.

Match the software to your shop type

  • Kiryana and general stores need fast barcode or quick-item billing, credit (khata) and simple stock alerts.
  • Garment and footwear shops need size and colour variants, a clear exchange process and loyalty points.
  • Pharmacies need batch and expiry tracking, and a clear record of who approved each sale.
  • Supermarkets need a fast multi-counter setup, label printing and reports by category and by hour.

Pick software for the shop you run today, and check that it can grow with you.

Compare the total cost, not the headline price

Many vendors quote prices before GST, so check whether the figure you see includes it. Add up the full cost before you compare plans:

  • The monthly or yearly fee, and how it scales with counters, users and branches.
  • Hardware you need to buy, such as a scanner, a printer or a PC.
  • Setup, data migration and training fees.
  • Support hours and the channel: phone, chat or WhatsApp.

A cheaper plan with fewer counters or no onboarding can cost more once you need the missing parts.

Where AIFFICIENTO fits

AIFFICIENTO is an AI-powered retail POS and management system for Indian shops. One PC in the shop runs as the server, with its own database. Other PCs act as counters on the local network. Selling continues without internet, and your sales data stays on your own PC.

The counter has barcode billing, a quantity shortcut, held bills, split payments (cash, card, UPI and other wallets, customer credit and loyalty points), returns, voids with a reason and approval, and shift and day-close reports. The receipt designer supports 58 mm and 80 mm printers, a logo and a QR code. The tax name and tax ID labels can be set for India, including GST and GSTIN.

Geto, the built-in assistant, answers questions about your shop in English and other languages. It can also turn a photo of a supplier bill into a purchase draft for you to check. Geto needs internet and an AI allowance, and it waits for your confirmation before it acts.

GST e-invoicing integration is available on request. Use the Request integration button in Settings, Store. Our team configures and tests it for your registration. AIFFICIENTO is not certified or approved by any tax authority. For the rules, read our GST e-invoice guide for retailers.

Starter is ₹499 per month, with 1 counter and up to 3 users. Growth is ₹1,299 per month for up to 3 counters, unlimited users and a larger AI allowance. Business is ₹2,499 per month per branch. See all plans on pricing, or read how the India POS software page covers local needs.

FAQs

Is billing software enough for GST compliance?
Billing software records the tax on each sale and prints the tax split on the invoice. Filing returns and deciding whether you need e-invoicing still need your accountant. Ask your CA which invoice fields and reports they need, then test them during the trial.
Can billing software work without internet?
It depends on the product. AIFFICIENTO keeps billing on the shop network, so counters keep selling when the internet is down, and sales sync when the connection returns. Cloud features such as the AI assistant need internet.
Can I use my own barcode scanner and printer?
Yes. USB barcode scanners and thermal printers you already own are supported. Check your printer's paper width in the receipt designer before you go live.
Do I need a card for the free trial?
No. The AIFFICIENTO 30-day free trial gives full access to everything and needs no credit card.
